Portal: Managing Lock Manual Credentials — Door Codes and Keycards

How to view, create, search, edit, and revoke doorcodes and keycards directly from the Credentials tab on a lock's Door Details page.

Overview

The Credentials tab on a lock's Door Details page is where you create manual doorcodes and keycards directly on a lock — for example, for a contractor, a one-off visitor, a shared common area, or any case where a dedicated code or card is needed outside the normal guest/staff flow.

This is separate from the PINs generated automatically as part of a Staff Key or a guest's reservation-based Key. Those are managed from the Keys tab and follow the property's PMS/reservation or Staff Key assignment. Credentials created here are independent, manually issued, and managed on a per-lock basis.

Use the Credentials tab to create new doorcodes and keycards, search and filter existing ones, check their sync status with the lock, and reveal, edit, or revoke them.


Where to Find It

  1. Go to Doors.

  2. Select the door to open its Door Details page.

  3. Open the Credentials tab, located between Settings and Audit Logs.

The tab loads with a brief indicator while it retrieves the credential list, then displays the full list.

Key Concepts

  • Doorcode: A numeric PIN entered at the lock's keypad.

  • Keycard: A physical card or fob assigned to the lock.

  • One-Time Doorcode: A code valid for a single use, automatically set to a 6-hour validity window. (No need for the lock to be online)

  • Random Doorcode: A system-generated code with a Label, Validity period, and Used by assignment. (No need for the lock to be online)

  • Custom Doorcode: A code you define yourself, subject to length validation. (Requires the lock to be online)


Layout

The Credentials tab shows:

  • The tab title and a total credential count

  • A New Credential button

  • A Search field

  • A Filters control

  • Two subtabs: Doorcodes and Keycards, each with its own count


Creating a Credential

Click New Credential and choose a type.

Doorcode

Choose one of three doorcode types:

  • One-Time: Created with a fixed 6-hour validity, set automatically. No validity input is needed.

  • Random: Set a Label, Validity period, and Used by (who the code is assigned to; assign to up to 50 users). The system generates the code.

  • Custom: Enter your own code. Codes must be 4–9 digits; 3-digit codes or fewer are rejected, and the field will not accept more than 9 digits.

If you enter a custom doorcode that's already in use on the lock, Portal shows an error and the credential is not created.

Keycard

Add a keycard using either method:

  • Select a card from the available pool, or

  • Enter the card's serial number manually
    ​

Required Fields

Label is required for every credential type. The Create button stays disabled until a Label is entered.

Once created, a new credential appears at the top of the list with a New badge.


Search & Filters

  • Label search — finds credentials by their Label.

  • Keycard serial search — matches full or partial serial numbers on the Keycards subtab.

  • Users filter — filter by one or more users assigned to a credential. You can select up to 50 users at once.

  • Type filter — filter Doorcodes by One-Time, Random, or Custom.

  • The Users filter carries over when you switch between the Doorcodes and Keycards subtabs. The Doorcode Type filter clears when you switch to Keycards, since it doesn't apply there.

  • Clear all resets every active filter. If no credentials match your search or filters, Portal shows a no-results state.

The total count and each subtab's count update to reflect any active search or filters.


Credential Status

Each credential shows a status that reflects whether it's active and whether it has synced to the physical lock:

  • Ready: The credential is synchronized to the lock. No status icon is shown.

  • Upcoming: The credential's validity starts in the future. Shown with an Upcoming badge.

  • Past: The credential has expired. Shown with a Past badge and no status icon.

  • New: A credential that was just created. Shown with a New badge.
    ​For the Custom credential type:

  • Syncing: While the Custom credential is being pushed to the lock, an orange clock icon is shown with the tooltip "Syncing."

  • Failed: If the lock doesn't respond in time (for example, if it's offline), a red icon appears with the tooltip "The lock did not respond in time."

  • Retrying: While Portal is retrying a failed sync, the Resync action is disabled, and the tooltip reads "The lock is still retrying."


Viewing & Copying Codes

  • Doorcodes are masked by default. Click the eye icon to reveal a code.

  • Once revealed, a code can be copied.

  • Revealed codes automatically re-mask after 30 seconds.

  • Keycard serial numbers are displayed directly and don't need to be revealed.


Editing a Credential

  • Custom doorcode: You can edit the Label. You can't edit the doorcode value itself.

  • One-Time / Random doorcode: You can edit the Label and Used by. Validity is locked and cannot be changed after creation.

Revoking a Credential

  1. Open the credential's menu and select Revoke.

  2. Confirm the revocation.

A revoked credential stays visible in the list with a Revoked badge, but its three-dot menu is no longer available, since no further actions can be taken on it.

If the lock is offline when you revoke a credential, Portal displays a warning that the change will only take effect once the lock reconnects and syncs.

Validity Rules

  • Past dates, and times earlier than the current time on today's date, can't be selected for validity.

  • Portal validates that the start of a credential's validity is before its end — an invalid combination can't be saved.

  • One-Time doorcodes always use a fixed 6-hour validity window, set automatically at creation.


Troubleshooting / FAQs

Portal: Why can't I create a custom doorcode?
Check the code length — it must be 4 to 9 digits. Also confirm the code isn't already in use on this lock; duplicate codes are rejected.

Portal: Why is Create disabled?
A Label is required for every credential type. Enter a Label to enable Create.

Portal: Why is Resync greyed out?
The lock is still retrying a previous sync attempt. Wait for the retry to finish, or check that the lock is online. (It applies only to Custom types that require the lock to be online)

Portal: Why can't I see the doorcode value anymore?
Revealed codes automatically re-mask after 30 seconds. Click the eye icon again to reveal it.

Portal: Why doesn't the revoked credential have a menu?
Once a credential is revoked, no further actions apply to it, so its three-dot menu is removed. It remains visible in the list with a Revoked badge for your records.

Portal: I revoked a credential but it still works at the lock. Why?
If the lock was offline at the time, the revocation is queued and only takes effect once the lock reconnects and syncs.

Portal: Why can't I change the validity on a Random doorcode?
Validity is locked after creation for One-Time and Random doorcodes. Only the Label and Used by fields can be edited.

Portal: What's the difference between a Credential and a Key?
A Key is generated as part of a guest reservation or a Staff Key, and its access follows that reservation or staff assignment. A Credential is a manual doorcode or keycard you create directly on the lock for a specific, standalone purpose — it isn't tied to a reservation or a Staff Key.
