Create Rooms and Beds

When creating a property on Goki, you'll need to configure your rooms and beds. By connecting to the PMS and using Goki SmartLocks, this setup will automate access to the rooms. Here is an article on how to create and map rooms from the Goki dashboard.

Once you create rooms you can manage, filter, or sort them:

  • Filter

    • Lock Status (No Lock, Has Lock)

    • PMS (No PMS - if it's not connected to PMS)

    • Battery Status (when it has a Low Battery)

  • Sort

    • You can sort rooms as convenient for you by ascending or descending orders:

      • Alphabetical

      • Creation time

      • The order which you mention for each room separately

      • Floor.

Rooms Settings

You can manage each room's settings separately:

1. Floor (Optional)

You can add the floor number for each room. It will help you to sort rooms by floor.

2. Ordering (Optional)

You can set the value manually and order room however you want. It will help you to sort rooms by order.

3. Beds (Optional)

If you are selling multiple beds in one room you can add those beds for each room, name them, and map them to the PMS. This is especially for accommodation spaces where the reservations are done for beds and not for the whole room. Learn More.


Note:

Each bed in one room should be mapped to the PMS separately.


4. Common area

Once you create common areas from the Goki dashboard or Spaces App, they should be marked separately for each room so the guests staying in this room can access these common area locks.


Note:

  • Marked common areas will be shown in the guest's Goki app if they are connected to the lock and they will be able to open the door.

  • The room can be set as a common area (when there is another room in the main room), and you can set 4-digit PINs & share them with the guests who are checked in in that room.

  • In the PIN email, once guests are checked in and related automation is on, the guests will also receive the Common Area PIN as well as their room PIN. So the guests will be able to open the door by PIN. Take note, Common Area PINs are shared, meaning each guest uses the same PIN for a Common Area.


5. PINs

Duplicate PIN Codes

Duplicate PIN codes can occur under the following circumstances:

  • Shared Reservations: When multiple rooms are grouped under a single reservation without unique email addresses for each guest or room, the system may tie the PIN code to the guest rather than the room. This results in the same PIN code being assigned to multiple rooms.

  • System Configuration Issues: If PIN codes are not properly generated for each room or reservation, duplicates may appear.

Note

Available for the rooms that are connected to a lock.

  • Current Guests PINS

    • All reservation PINs will be listed in the Current Guests PINs section.

    • You will be able to regenerate those PINs from the 3-dot option next to it if they are expired/don't work.

    • You can disable/enable current guests' PIN remotely (once you have the GokiAir connected & it's online)

Common Area PINs Synced from a Reservation

If a common area door shows the same PIN as a guest's active reservation (this happens automatically via GokiAir/WIFI when both the room lock and the common area lock are online), that common area PIN entry has no options at all — no Remove, no Disable, no Re-Generate. It is not a standalone "Other PIN" and cannot be managed directly from the common area's three-dot menu.

This PIN is fully controlled by the reservation it's synced from:

  • Regenerating the reservation PIN (from Current Guests PINs) also regenerates the common area copy.

  • NOTE: Disabling/enabling the reservation PIN DOES NOT disables/enables the common area copy. The PIN continues to work until the reservation check-out date. You can contact support to ask for removal if it is urgent and causes security issues.

  • The common area PIN is removed automatically when the reservation checks out or is cancelled.


  • Other PINs

    • You can create a Random PIN, One-time PIN, and 4 Digit PIN (a 4digit PIN only once you have the GokiAir connected)

    • Disable/enable Random PIN (once you have the SmartLock Pro or the GokiAir connected & it's online)

    • Remove a 4digit PIN (once you have the SmartLock Pro or the GokiAir connected & it's online)

      Note:
      4 digit PIN can be created remotely only via GokiAir. Random PIN and One Time PIN can be created without it.
      Once you have the GokiAir connected you are able to enable/disable Random PIN.
      Once you have the GokiAir connected you are able to delete 4 Digit or One Time PIN.

Note

  • You can only disable/enable the current guest PIN and Random PIN.

  • You are able to re-generate only the Current guest PIN.

  • You can only remove a One Time PIN and a 4-digit PIN.


6. Logs

Each guest/staff action who opened the room should be shown in the Logs section from every room's settings with the user/traveler name, dates (when it was opened), and how it was opened (with PIN or APP).

Room as a common area

You are able to use a room as a common area by "setting it as a common area" from the 3 dots option in the room's settings.


Note:

When you set the room as a common area, it will be listed in the common area section if it has a lock, and will have all features which have any other common area door. (You will be able to create 4 digit PIN for it and share it with the guests, mark it as a common area for other rooms)


Room with Two Entrances (e.g. 412A and 412B)

Goki does not support connecting two locks directly to one room. If a room has two physical doors and the guest should open both with the same PIN, use the following workaround.

How to set it up:

  1. Create a separate space in the Goki dashboard for the second door (e.g. 412B).

  2. Connect the second lock to that space.

  3. In 412B space settings → 3 dots → Set as Common Area.

  4. In 412A room settings → Common Area section → mark 412B as a common area for this room only.

Once set up and GokiAir is connected with the relevant Autopilot automations enabled, Goki will automatically write the guest's same 4-digit reservation PIN to both locks. The guest uses one PIN to open both doors.


Notes:

  • Marking 412B as a common area for 412A only means only guests staying in 412A can access it — it is not shared across the whole property unless you mark it for all rooms.

  • If you mark it for all rooms, all guests in the property will have access to 412B — only do this for genuinely shared doors such as a lobby or pool entrance.

  • This requires GokiAir to be connected to both locks and the following Autopilot automations to be enabled: Generate Access, Send PIN Email, Send Access Changed Email.

  • The same 4-digit PIN works on both doors because short PINs are unique per guest across the whole property — Goki writes the same PIN to both the room lock and the common area lock automatically.

  • Do not create 412A and 412B as two completely separate rooms with separate reservations — the guest will receive two different PINs.


Delete Room

You are able to remove the room from the Goki dashboard by clicking "Delete" from the 3 dots option in the room's settings.


Note

When you delete the room from the Goki dashboard it will be removed from the Spaces App too and if the lock was connected to it connection will be lost & all pins will be removed & does not work, so you will be able to connect that lock to another room
