Overview
By default, guests receive their access credentials before they arrive based on a time-based schedule. The check-in notification mode changes this: guests only receive their door code or smart key link at the exact moment they check in at the property.
This avoids confusion from early credential delivery and ensures the notification is timely and relevant. The setting is configured per property, so different properties can each use the mode that suits them best. The Guest App itself hides the door code and main room mobile keys until the guest is checked in — not just the notification.
Key Concepts
Time-based mode
The default notification setting. Guests receive their credentials a set amount of time before their scheduled arrival.
Check-in notification mode
An alternative setting where the credential notification is sent only when the guest physically checks in — not before, and not via online check-in.
Door code / smart key link
The access credentials are delivered to a guest. These may already be allocated and synced to the lock before the guest receives the notification.
Keychain (manual)
A keychain created by staff outside of a reservation. These always send notifications normally, regardless of the property's notification mode.
Per-property setting
The notification mode is configured individually for each property, so different properties can run different modes simultaneously.
NOTE: Online check-in does not trigger a credential notification in this mode. The notification is only sent when the guest physically checks in at the property.
Tips / Best Practices
Use check-in mode for properties with walk-in guests. It avoids credential notifications arriving days before a stay, which can cause confusion or misuse.
Remember that credentials are still synced to the lock before check-in. The lock itself is ready — only the guest notification is delayed.
Configure each property separately. You can run time-based mode on some properties and check-in mode on others — they are fully independent.
Manual credential sharing still works normally. If a guest needs credentials urgently, staff can share them directly without changing the property setting.
Manually created keychains are unaffected. Keychains created by staff outside a reservation always notify as normal, regardless of this setting.
In Check-in mode, some common-area mobile keys may still appear in the Guest App before check-in if their access window has already started. Door codes for common areas are never shown before check-in.
Troubleshooting / FAQs
Portal: Will a guest receive their credentials before check-in if credentials are already synced to the lock?
No. When check-in notification mode is enabled, guests will not receive any credential notification before check-in, even if the credentials have already been allocated and synced to the lock. The lock is ready, but the guest is not notified until they physically check in.
Portal: Does online check-in trigger a credential notification in this mode?
No. Online check-in does not trigger a credential notification. The notification is only sent when the guest physically checks in at the property.
Portal: What happens to manually created keychains when this mode is active?
Keychains created manually by staff — not through a reservation — continue to send credential notifications normally at the time of creation. This setting does not affect them.
Portal: Can I use both modes across different properties at the same time?
Yes. The notification mode is a per-property setting. One property can use time-based mode while another uses check-in notification mode — each property behaves entirely according to its own configuration.
Portal: Can I switch back to time-based mode after enabling check-in mode?
Yes. You can switch between modes at any time from the property's credential notification settings. The change takes effect immediately for future check-ins.
Portal: Does this setting affect manual credential sharing by staff?
No. If a staff member manually shares credentials with a guest, that action is not affected by the check-in notification mode. Manual sharing always works as expected.
