Portal-How to Share Credentials (Door Code or SmartKey) With Guests or Staff

This article explains how staff can share existing Door Codes or SmartKeys with guests or team members using the Key tab in the Portal Dashboard.

Overview

Staff can share existing Doorcodes or SmartKeys with guests or team members using the Share Credential option in the Portal Dashboard.
This is useful when access details need to be resent or sent to an alternative email or phone number.


Before You Start

Before sharing credentials, make sure:

  • A Key already exists for the guest or staff member

  • A credential has been generated (Doorcode and/or SmartKey)

  • Key Notifications are enabled if you want automatic sending


Key Concepts

  • Key: A set of access permissions for a guest or staff member.

  • Credential: The access method sent to the guest (Doorcode or SmartKey).

  • Share Credential: A dashboard action used to resend existing credentials.

  • Alternative Share: A manual option to send to a different email or phone number.


How to Share Credentials from Key Details

  1. Go to Keys.

  2. Find the Key created for the guest or staff member.

  3. Open the Key Details page.

  4. Click the three-dot menu.

  5. Select Share Credential.


When the Share Credential Button Is Active

The Share Credential button is active only when a credential exists.

  • If a Doorcode or SmartKey is generated β†’ the button is active

  • If no credential exists β†’ the button is disabled, and only Alternative Share is available


Supported Credentials

The Share Credential option becomes available when at least one of the following exists:

  • Email

  • Phone number


How to Send Credentials

When you select Share Credential, a modal opens showing available delivery options.

  1. Choose where to send the credentials:

    • Send to saved email (if available)

    • Send to saved phone number (if available)

    • Enter an alternative email

    • Enter an alternative phone number

  2. Click Send.


Important Notes

  • Automatic email/SMS messages are sent when credentials are first generated (if toggles are enabled).

  • Shared credentials can include:

    • Doorcode

    • SmartKey link

  • If no credential exists, Portal shows Alternative Share only.

  • Staff can manually send credentials using a new email or phone number.

  • Manual sending follows a 3-minute rate limit.

  • No external services are required (sending is handled internally).

  • To enable automatic sending, go to Customization β†’ Key Notifications and enable:

    • Email toggle

    • SMS toggle

Tips / Best Practices

  • Confirm guest contact details before sending

  • Use Alternative Share when guest contact details were entered incorrectly

  • Avoid repeated resends to prevent rate limit blocks

  • Keep Email/SMS notifications enabled for automatic delivery


Troubleshooting / FAQs

Share Credential is disabled
No credential exists yet. Generate a Doorcode or SmartKey first.

Guest did not receive the message
Check that the email/phone number is correct and try again after the rate limit period.

Messages are not being sent automatically
Enable Email and SMS toggles in Customization β†’ Key Notifications.
