V2-Portal-Edit guest profile

This article explains how staff can edit guest or visitor profile information directly from the Key Details page in the Portal Dashboard.

1. Open the Guest Profile from the Key Tab

  1. Go to the Keys tab.

  2. Select the Key you created for the guest, visitor, or staff.

  3. Open the Key Details page.

  4. In front of the guest’s name, tap the three-dot menu.

  5. Select Edit Profile.


2. Editable Profile Fields

Inside the Edit Profile modal, staff can update:

  • First Name

  • Last Name

  • Email Address

  • Phone Number

  • Gender

  • Birthdate

  • Type (Guest, Visitor, Other)

These fields help maintain accurate identity and contact information for key delivery and communication.


3. Protecting a Guest Profile

The Edit Profile window also includes a Protect Profile toggle.

When enabled:

  • The guest profile is protected.

  • The system will not overwrite this profile with updates from the PMS.

  • Staff changes remain permanent unless edited again manually.

When disabled:

  • PMS updates (such as name or contact changes) will sync normally.

This option is useful when:

  • PMS data is unreliable.

  • Manual corrections must be preserved.

  • The guest has multiple reservations with conflicting data.


4. Saving Changes

After updating details:

  • Tap update to apply changes.

  • The updated profile appears immediately in the Key Details page.

  • Any credential delivery (emails or SMS) will use the updated contact information.
