What this does
If your guests already carry a Leat loyalty pass in Apple or Google Wallet, Portal can now write their stay details onto that same pass — automatically. No new app for guests to download, and no extra work for your team once it's turned on.
When a guest is emailed their key details, Portal adds their stay dates, room number, and door code to their Leat pass. When their key is revoked or their stay ends, those details are automatically removed again.
The integration does not replace or suppress Portal's standard key messages. Loyalty members receive both the key details email and the pass update.
How it works
Guests are matched to their Leat pass by email address only. The email on the guest's profile in your PMS must be exactly the email they used to join Loyalty. A typo or an OTA relay email in the PMS means the pass won't update.
Portal sends key details through one channel per guest: email if the guest has one, otherwise SMS. A guest never receives both. Guests who only receive an SMS are not synced to Leat, because matching needs an email.
A guest can join Loyalty and add the pass before or after check-in. If the key is sent before the guest joins, Portal can create the Leat contact itself.
Portal writes the room, bed, door code and stay dates onto the guest's Leat contact, not only onto the pass.
Portal only writes data to Leat. It never sends guests a wallet sign-up link, never emails on Leat's behalf, and never deletes a guest's Leat contact — removing a guest's data entirely is done from within Leat itself.
This is opt-in per property — nothing happens until a property connects its own Leat account.
Important: Leat is updated when Portal sends the guest their key details. Make sure Key Notifications are enabled and that the guest's key details email is successfully sent. If the key notification is disabled and the key details email is not sent, the guest's stay information will not be written to their Leat contact.
Turning it on
Go to Apps, then select Leat.
In your Leat account, create a Private App (under Leat's own integrations/marketplace settings) and copy the access token it gives you.
Paste that token into the Access token field in Portal.
Choose whether new guests should be added as Leat contacts automatically, and whether to sync your current in-house guests when you connect.
Select Connect. You'll see a confirmation, and the status will show as Active.
Steps
Make sure Key Notifications are enabled for the property.
Create a new Key from the PMS/Portal Dashboard.
Confirm that Portal sends the guest their key details email.
Find the customer's email in Leat → CRM → Contact.
Open the contact and check the data.
The guest's stay details should appear there.
What guests see on their pass
Stay dates — shown as dates only, never a time.
Room (including bed) and door code — shown once the stay has started. If a stay hasn't started yet, the room may show without a code until check-in.
If a guest holds more than one key at a time, the soonest is shown first, with additional rooms/codes listed alongside.
Best practice at check-in
Check the guest's email in your PMS. It must be exactly the email they use for Loyalty — this is the most important step. For OTA bookings, update it before completing the check-in.
Check the guest in in your PMS. With Key Notifications set to On Check-in, Portal then sends the key details and updates the guest's Loyalty contact.
Make sure every guest is checked in in your PMS. A guest who is not checked in still gets a code that becomes valid at the start time, but is never notified.
Backup options for guests who can't receive their details through the pass:
Email and SMS: the standard Portal key notifications. With SMS enabled, every guest with an email or a phone number receives their details automatically.
Resend: use Resend on the guest's key in the Portal dashboard (after check-in).
Share: share the key to any email or phone number entered at the desk. This works even if the SMS channel is switched off in your settings.
Paper card: only for guests with no email, no phone, or when none of the above work.
Frequently asked questions
Can a guest join Loyalty before they're checked in?
Yes. A guest can join Loyalty and add the pass before reception checks them in. When the check-in is completed in your PMS, Portal sends the key and updates that guest's Loyalty contact with room, bed and door code.
When is the pass updated?
When Portal sends the key details. With Key Notifications set to On Check-in, Portal sends them when the reservation is checked in in your PMS, normally within about a minute. For how quickly Apple and Google Wallet refresh the pass on the guest's phone, check with Leat.
How do "On Check-in" and "Grant access at start time" work together?
"On Check-in" controls when Portal sends the key details. "Grant access at start time" controls when the key is loaded onto the locks. If you check a guest in before the scheduled start time, Portal moves the key start to the check-in time. The code works immediately and the guest receives it at the same moment, so there is no gap between receiving the code and it working.
What happens when a key is revoked or a guest checks out?
The room number and door code are removed from the guest's pass right away — nothing is left showing after checkout.
What happens if a guest changes rooms?
The guest keeps the same door code, and the Loyalty pass shows the new room. The original email and SMS are not resent, so they still show the old room. Tell the guest at the desk or use Share.
Can several guests on one reservation each get their own pass details?
Yes. Every guest added to the reservation in your PMS gets their own key and their own door code, sent to their own email (or phone, with SMS on). In Leat, each guest is matched by their own email, so each person's pass shows their own details. A guest added without an email, or without a phone number when SMS is on, receives nothing. If two guests share one email address, both codes appear on the same pass.
What if a guest doesn't have an email on file?
With SMS enabled, guests without an email automatically get an SMS at check-in. With SMS off, a guest with no email receives nothing, and the dashboard does not flag it. The standard SMS contains the stay dates, booking reference, space name (as shown in your Portal space names, e.g. room and bed letter) and door code. The key email contains the same details. SMS-only guests are not synced to Leat.
What if a guest doesn't want to join Loyalty?
The standard Portal key email gives them room, bed and door code as usual. By default, Portal also creates a Leat contact for every guest whose key goes out by email, members or not — see the next question if you only want Loyalty members in Leat.
Can I turn off automatic contact creation but keep updating existing guests?
Yes — untick "Add guests as Leat contacts." New guests won't be added, but guests who already have a Leat contact will continue to update normally. With it off, a guest must join Loyalty before check-in for their pass to be filled.
What if a guest joins Loyalty but can't use Apple or Google Wallet?
The guest still receives the standard Portal key email with the same details. Whether Leat can show those details in its own app, web portal or emails is a question for Leat.
Does this work with OTA guests (e.g. booked through an OTA)?
Portal never creates Leat contacts for OTA relay addresses (such as Booking.com, Hostelworld, Expedia or Airbnb). If that guest already has a Leat contact from a previous stay, it will still update. If the guest uses a different email for Loyalty, update their email in your PMS before completing the check-in — Portal reads the guest's details at check-in, so the key and the Loyalty pass will use the new address. If you change it after check-in, Portal does not resend automatically. Use Resend on the guest's key in the Portal dashboard: this sends the details to the new address and moves them onto the correct Loyalty contact.
What if many guests' passes are out of date?
For example, after changing Leat settings. Contact Portal support and we can push all current keys to Leat again.
Can I disconnect Leat later?
Yes. Disconnecting stops new updates, but details already written to a guest's pass stay there until the property reconnects or the guest's pass design is edited.
Limitations
Guests with no email or phone receive nothing automatically, and the dashboard shows no warning. Reception should use Share or a paper card for them.
Guests added manually (without a linked reservation) won't have a room number shown, since none is on file.
If a property shares one Leat account across multiple properties, a guest staying at both will show only the most recently updated property's details at a time.
There's currently no notification if Leat is unreachable — Portal automatically retries and catches up, and any persistent issue will show as "Needs attention" on the Apps → Leat page.
