How Does Portal Handle Email and SMS Notifications for Entrance Codes and Scheduled Updates?
Portal provides flexible notification options for sending entrance codes and scheduled updates via email and SMS. Below is an overview of how these notifications are managed:
Overview of Notification Channels
Portal supports two notification channels: email and SMS. These channels can be enabled or disabled based on user preferences and the availability of contact information in the guest profile. Notifications are sent depending on the type of event and the enabled settings.
Key Creation/Updates Notifications
When entrance codes are created or updated, Portal can send notifications via both email and SMS , provided the following conditions are met:
Both email and SMS notifications are enabled in the Key Notifications settings.
The guest profile contains both a valid email address and a phone number.
If these conditions are satisfied, Portal automatically sends the access details through both channels, ensuring the guest receives the information promptly. But email is prioritized over SMS. SMS is sent only in the absence of an email address.
Scheduled Notifications
For scheduled notifications, Portal prioritizes email as the primary channel. The behavior is as follows:
If a valid email address exists in the guest profile and email notifications are enabled, the scheduled notification is sent via email.
SMS is used only as a fallback if the email cannot be delivered. The same scheduled notification is not sent via both email and SMS.
Prioritization Rules for Email and SMS
Key Creation/Updates: Both email and SMS are used if enabled and valid contact details are available. But email is prioritized over SMS. They can't be sent simultaneously. SMS is sent only if the email is absent.
Scheduled Notifications: Email is prioritized, with SMS serving as a fallback option only if email delivery fails.
