Portal: Account Access – Password Reset, Login & Security Settings (2FA)

This article explains how to reset your password, activate your account, log in using two-factor authentication (2FA), and manage your 2FA and social login settings from your Profile.

Overview

As a staff member, you can reset a forgotten password, resend an account activation code, and log in with 2FA depending on your current security status. You can also manage your 2FA methods and Google social login preferences directly from Profile Settings. The options available to you at login depend on whether 2FA is enforced by any property you belong to.

Key Concepts

  • Portal: Forgot Password: A self-service flow that sends a password reset link to your registered email address.

  • Portal: Account Activation OTP: A one-time code sent by email to verify and activate a new staff account.

  • Portal: Two-Factor Authentication (2FA): A second verification step at login, completed via SMS or an Authenticator App.

  • Portal: Enforced 2FA: A property-level setting configured in the Customization page that requires all staff to have at least one active 2FA method.

  • Portal: 2FA State: The status that determines what a staff member sees and must do during login regarding 2FA.


How to Reset Your Password

  1. On the login page, click Forgot Password.

  2. Enter your registered email address.

  3. Check your inbox for a password reset email and click the link provided.

  4. Enter and confirm your new password.

  5. Log in using your new credentials.

    If you are already logged in and want to change your password:

    1. From the top right corner of the Dashboard, open your Profile.

    2. Click Edit Profile.

    3. Find the Change Password section.

    4. Enter your Current Password.

    5. Enter your New Password and confirm it.

    6. Save your changes.


How to Resend Your Account Activation OTP

If you did not receive your activation code or it has expired, you can request a new one.

  1. On the account activation page, wait at least 2 minutes after the initial code was sent.

  2. Click Resend.

  3. Check your inbox for the new OTP code.

  4. Enter the code to complete activation.

The resend option becomes available after 2 minutes to prevent duplicate sends.


How to Log In with Two-Factor Authentication

After entering your email and password, the 2FA step you see depends on your current 2FA state.

2FA States

Active Your account has 2FA enabled. You will be prompted to verify your identity at every login.

  1. Enter your email and password.

  2. Select your preferred method — SMS or Authenticator App.

  3. Enter the code you received.

  4. You are now logged in.

Setup Required: You belong to at least one property that enforces 2FA, but you have not completed setup yet. You must configure a 2FA method before you can proceed.

  1. Enter your email and password.

  2. On the 2FA setup screen, select SMS or Authenticator App.

  3. Follow the on-screen steps to complete setup.

  4. Verify with the method you configured to log in.

The option to skip is not available in this state. The enforced 2FA setting is managed by your property owner from the Customization page.

Initial No property you belong to currently enforces 2FA. You are prompted to set up a 2FA method but can choose to skip.

  1. Enter your email and password.

  2. On the 2FA setup screen, set up a method or click Skip.

  3. If you skip, you will not be shown the setup screen again on future logins unless a property enforces 2FA.

Skipped You have previously skipped the 2FA setup and no property currently enforces it. The setup screen is not shown at login. If a property later enforces 2FA, your state changes to Setup Required and you will be prompted to complete setup on your next login.


How to Manage Profile Security Settings

  1. Log in to your account.

  2. Open your Profile from the account menu.

  3. Navigate to the Security section.

  4. Select the method you want to enable, change, or disable.

Authenticator App

Enable: Click Enable next to Authenticator App, scan the QR code with your authenticator app, and enter the generated code to confirm.

Change: Click Change, follow the steps to link a new authenticator app, and confirm with the new code.

Disable: Click Disable and confirm. If your property enforces 2FA and SMS is not enabled on your account, this option will be blocked until SMS is set up first.

SMS Verification

Enable: Click Enable, enter your phone number, and verify it with the code sent to that number.

Change: Click Change, enter your new phone number, and confirm with the code sent to it.

Disable: Click Disable and confirm. If your property enforces 2FA and the Authenticator App is not enabled on your account, this option will be blocked until the Authenticator App is set up first.

Google Social Login

Google social login is enabled by default and allows sign-in via your Google account.

Disable: Click Disable and confirm. Once disabled, you must use your email and password to log in. You can re-enable this at any time from Profile Settings.


Tips / Best Practices

  • Portal: If your property enforces 2FA, always keep at least one active 2FA method or you will be unable to disable either method.

  • Portal: If you skip 2FA setup and a property later enforces it, you will be prompted to complete setup at your next login.

  • Portal: If you change phones, update your SMS number or re-link your Authenticator App before losing access to the old device.

  • Portal: Check your spam folder if you do not receive a password reset or activation email within a few minutes.


Troubleshooting / FAQs

Portal: I did not receive my password reset email. What should I do? Check your spam or junk folder. If it is not there, wait a few minutes and try the Forgot Password flow again from the login page.

Portal: The resend button on the activation page is not available. Why? The resend option is only available after 2 minutes from the last send. Wait the full 2 minutes before clicking Resend.

Portal: I skipped 2FA setup. Will I be asked again? Not unless a property you belong to enforces 2FA. If enforcement is applied, you will be prompted to complete setup on your next login.

Portal: Why can't I disable my Authenticator App or SMS? If your property enforces 2FA, you must have at least one active 2FA method at all times. Enable the alternative method first, then disable the one you want to remove.

Portal: Can I still log in with my Google email after disabling Google social login? Yes. Disabling Google social login only removes the one-click sign-in option. You can still log in using your email address and password.
