How to Activate Portal credential and log in

Overview

When a staff member is invited to Portal, an account is created but remains inactive until activation is completed.
This article explains how account activation works and how staff can activate their account using different methods.


Before You Start

Before activating your account, make sure:

  • You have been invited by the Support team, Owner, or General Manager

  • You have access to your email inbox

  • You are using the same email address that received the invitation


Key Concepts

  • Invited (Not active yet): Account is created, but cannot be used

  • Registered: Account is activated and ready to use

  • Activation Code: A code sent by email used to activate the account


Account Invitation Status

When you are invited:

  • Your account is created automatically

  • Status shows as “Not active yet” in the Teams section

  • You cannot log in until activation is completed

After activation:

  • Status changes to Registered

  • You can log in and access Portal


How to Activate Your Account

Option 1: Activate Using the Email Link (Recommended)

  1. Open the invitation email.

  2. Click the activation link.

  3. Enter the required details.

  4. Set your password.

  5. Submit the form.

Your account is now activated and ready to use.

NOTE: You can use the same credentials to log in to the Tryportal app (staff app)


Option 2: Activate Using “Activate Now” (With Code)

Use this option if you prefer not to use the email link or if it has expired.

  1. Go to the Login page.

  2. Click Activate Now.

  3. Enter your email address.

  4. Enter the activation code from your email.

  5. Set your password.

  6. Complete the process.


Option 3: Resend Activation Code

If you don’t have the email or code:

  1. Go to the Login page.

  2. Click Activate Now.

  3. Enter your email address.

  4. Click Resend Code.

  5. Check your email for the new code.

  6. Enter the code and complete activation.


Tips / Best Practices

  • Use the email link for the fastest activation

  • Set a strong password during activation

  • Keep the activation email until setup is complete

  • Activate your account as soon as you receive the invite


Troubleshooting / FAQs

Portal: I can’t log in after being invited
You must activate your account first.

Portal: I didn’t receive the invitation email
Check your spam or junk folder and confirm your email address.

Portal: The activation link expired
Use the Activate Now option and enter the activation code.

Portal: I don’t have the activation code
Use Resend Code to receive a new one.

Portal: Activation still not working
Contact your Owner or General Manager to confirm your invitation details.

Portal: Can I access the Portal dashboard on my phone?

Yes. The Portal dashboard is fully accessible on mobile browsers (Chrome, Safari, etc.). Use this URL directly:

Log in with your usual email and password.

Portal: I get an error when trying to log in on my phone browser — what should I do?

If you get a login error on mobile, the most common cause is using a bookmarked or deep link URL (one that contains extra parameters like ?pid=... or ?query=...). These links can fail on mobile browsers.

Fix: Open a new browser tab and go directly to https://dashboard.tryportal.com/ — do not use a saved link or shortcut. This will load the login page correctly.

Portal: When I try "Forgot Password" on my phone it says my account doesn't exist — but my email is correct on desktop. Why?

This is usually triggered by the same issue above — you are on a broken deep link URL. The password reset flow can behave unexpectedly when the page hasn't loaded properly.

Fix: Go to https://dashboard.tryportal.com/ directly, then use Forgot Password from there.

Portal: Can I view guest key codes on the Portal Staff App?

Not currently. Key codes are only visible on the Portal dashboard (web). If you need to access a guest's code while away from a computer, open https://dashboard.tryportal.com/ in your phone's browser — it works well on mobile and gives you full access to keys and codes on the go.

The team is aware that this is a frequently requested feature for the Staff App and it's on the roadmap.
