V2 Portal-Manage Doors and Spaces

**Importing, Mapping & Managing Doors (Space) in the Portal Dashboard** This article explains how to import doors from your PMS, manually add doors, map them to Spaces, and review lock details in the Portal Dashboard.

1. Importing Doors (Space) from Your PMS

When a property is new and has no doors, the first step is to connect your PMS.

  1. Go to App Integrations and connect your chosen PMS.

  2. After a successful integration, open the Doors tab.

  3. Select Import from PMS. All rooms created in your PMS are automatically imported and mapped. No manual work is required.

You can also select Add Door to create doors manually.

Manual doors must be mapped to their Spaces individually.


2. Door Details Overview

Each door has four main tabs:

Info

  • Linked Doors ( Doors that need to be added and grant access along with Main Space like common areas/lift/shared services or a locker)

  • Default Check-In/Check-Out Time (can be enabled or disabled per door)

  • Door Location

Mapping

Use this tab to define Space Mapping.

  1. Select the connected App.

  2. Choose the Space you want to map.

  3. Click Add and then Save Changes or Revert.

A door can have multiple mappings depending on the property’s Space structure.

Locks

If no lock is installed, you will see “No lock installed”.

(Install locks using the Portal Staff App.)

After a lock is installed, the tab displays:

  • Lock Type

  • Connectivity Status (Online / Offline)

  • Lock Time

  • MAC Address

  • Hardware Version

  • Firmware Version (updates available when online)

  • Supported Credential Types

A new Settings tab appears once a lock is connected.


3. Lock Settings

The Settings tab includes:

  • Master Code (Can be changed if lock is online)

  • Lock Sound (enable/disable when online)

  • Passage Mode

Passage Mode allows you to set a date and time range where the lock stays unlocked. This can only be configured when the lock is online.


4. Audit Logs

The Audit Logs tab lists all door events.

You can filter events by selecting Event Filter and choosing one or multiple event types.


5. Door Management Options

Next to each door name is an Actions button.

This allows you to:

  • Rename the door

  • Change the Door Type (Private Room, Shared Room, Service Area, Lift, Common Area, Locker)

The Doors list also includes:

  • Search by Name

  • Filters: Has Lock, Low Battery, Has Pending Updates

Additional Notes

  1. If a Key has been added for a Staff Profile, the Unlock button appears. When the lock is online, staff can unlock the door remotely.

  2. If no lock is installed, a Remove button is available. Staff can remove the Space by typing the name and confirming deletion. If a lock is installed, staff must uninstall the lock first via the Portal Staff App before deleting the Space.
