Manage Buildings, Levels & Spaces (Staff Guide)

A concise, step‑by‑step guide to create and manage your property structure in Portal → Spaces: Buildings, Levels, and Spaces (rooms/areas).


Overview

  • Build your structure manually or via CSV upload.

  • Typical hierarchy: Building → Level → Space.

  • If your PMS is connected and no spaces exist yet, you can Import from PMS to auto‑create and map rooms.


Structure

  • Building: Usually one per property, but you can create multiple (e.g., separate wings/blocks).

  • Level: Floors such as Ground, 1st, 2nd.

  • Space: Rooms or areas guests access.


Quick Start — Add Building, Levels & Spaces

  1. Go to Portal → Spaces.

  2. Click Add Building and give it a name.

  3. Add one or more Levels as needed.

  4. Click Generate to create the structure.

You can also bulk‑create via Upload CSV in the Spaces tab.

PMS Import: If your PMS is connected and no spaces exist yet, you’ll see Import from PMS. Click it to import all rooms and auto‑map them to Spaces.


Edit / Duplicate / Delete

In Spaces overview, click the ⋯ (three‑dots) menu next to a Building, Level, or Space to:

  • Add — create a new item at that level

  • Duplicate — copy an item (useful for repeating floors)

  • Edit — rename or adjust details

  • Delete — remove the item from Portal

Deleting items in Portal does not delete data from your PMS. If you rely on PMS sync, re‑import or re‑map as needed.


Expected Behavior

  • Generate creates the selected Building with its Levels and placeholder Spaces (if configured in the flow or CSV).

  • PMS Import appears only when no Spaces exist; after import it disappears. If you delete all Spaces later, the button reappears so you can re‑import.

  • Duplication copies names with a suffix you can edit (e.g., Level 2 (copy)).


Edge Cases & Errors

  • Duplicate names: You may be prompted to adjust names to avoid confusion in search/mapping.

  • CSV validation: Ensure required columns and consistent casing. Correct any row‑level errors and re‑upload.

  • PMS mapping gaps: If some rooms don’t map, check Spaces → Mapping (or equivalent) to complete links manually.

  • Import button missing: It shows only when no Spaces exist for the property.


Troubleshooting

I clicked Generate but nothing appeared.

  • Refresh the page; confirm you completed the flow. Try again with a simple Building name.

I don’t see “Import from PMS.”

  • Confirm your PMS integration is connected/active and that the property currently has no Spaces.

I deleted my Spaces by mistake.

  • Rebuild via Upload CSV or click Import from PMS (if available) to re‑create the structure.

My duplicates have confusing names.

  • Use Edit to rename Levels/Spaces for clarity before adding keys or mappings.

Q: How many Buildings can I add?

A: As many as you need—most properties use one.

Q: Does deleting a Space affect PMS data?

A: No. Deletions are local to Portal. If using PMS sync, you may need to re‑map after changes.

Q: Can I build everything with CSV?

A: Yes—CSV is ideal for large properties. Validate headers and naming conventions before upload.
